Legal notice
At Picture Perfect, we understand that your photographs, videotapes, and family media are more than physical items — they are often irreplaceable memories. We take their care, privacy, and security seriously throughout the digitization process.
This policy explains how your original media and newly created digital files are handled while in our care.
1. Collection & Receiving Your Media
Once your order is confirmed, Picture Perfect will arrange collection of your photos, videotapes, or other accepted media.
We recommend that customers securely package their media in a box, envelope, album, or other suitable container before collection.
If your collection has a specific order, grouping, or organization that you would like us to maintain, please clearly separate or label the groups and inform us before pickup.
2. Counting & Documenting Your Collection
After receiving your media, we will review and prepare it for digitization.
For Photo Digitization orders, we will determine the actual number of eligible photographs to be digitized. Your final price will be calculated according to the actual quantity processed and the applicable pricing tier.
Any quantity provided by the customer before collection is considered an estimate only.
3. Handling Your Original Media
We handle customer media carefully throughout preparation, digitization, storage, and return.
Reasonable precautions are taken to protect your originals while they are in our possession and to keep individual customer collections organized.
We ask customers to inform us in advance if any item is particularly fragile, damaged, historically significant, or otherwise requires special handling.
4. Fragile or Damaged Media
Photographs and videotapes can naturally deteriorate with age and may have been affected by moisture, heat, mold, dust, improper storage, previous handling, or other environmental conditions.
If we determine that an item may be unsafe to process using our normal procedures, we may choose not to digitize it rather than risk further damage.
Where appropriate, we may contact you before proceeding with media requiring unusual handling.
Picture Perfect cannot guarantee that severely damaged or deteriorated media can be successfully digitized.
5. Digitization Quality
We aim to produce high-quality digital copies while preserving the appearance and character of your original memories.
However, the quality of the final digital file depends partly on the condition and quality of the original.
Fading, scratches, discoloration, blur, grain, poor exposure, damaged videotape, audio problems, recording defects, or missing information present in the original may also appear in the digital version.
Digitization does not automatically restore damaged photographs. Photo restoration, where available, is offered separately.
6. Your Privacy
Your family photographs and videos are treated as private customer material.
We will not intentionally publish, post on social media, use in advertising, sell, or otherwise publicly share your personal photos or videos without your permission, except where disclosure is required by applicable law.
Your media will only be accessed as reasonably necessary to provide the services you requested.
7. Digital File Storage
Digital copies may be temporarily stored on our systems while your order is being processed, reviewed, and delivered.
Picture Perfect is a digitization service and should not be considered a permanent backup or cloud-storage provider.
Once you receive your files, we strongly recommend creating at least one additional backup on another device or trusted cloud-storage service.
8. Digital File Retention
After your completed digital files have been delivered, Picture Perfect may retain a temporary backup for a limited period to help resolve delivery issues or provide replacement files if necessary.
Digital files may be permanently deleted from our systems after this period.
We therefore strongly recommend downloading and backing up your files as soon as you receive them.
9. Returning Your Originals
Your original photographs, videotapes, and other accepted physical media remain your property and will be returned after processing according to the arrangements made for your order.
Customers should inspect their returned media and digital files after receiving them and contact us promptly if they believe there is an issue.
10. Unclaimed Media
Customers are responsible for remaining reachable using the contact information provided with their order.
If we are unable to arrange the return of completed media, we will make reasonable attempts to contact the customer.
Original media will not be intentionally discarded without reasonable attempts to contact its owner.
Before implementing any disposal procedure for long-term unclaimed media, Picture Perfect will communicate the applicable timeframe and conditions to the customer and comply with applicable law.
11. Risk & Limitation of Liability
We recognize the sentimental importance of the materials entrusted to us and take reasonable precautions when handling them.
However, older photographs and videotapes may be inherently fragile, damaged, deteriorated, or unstable before they reach us.
To the extent permitted by applicable law, Picture Perfect is not responsible for deterioration, defects, or loss of information caused by the pre-existing condition of the media or circumstances outside our reasonable control.
Nothing in this policy limits any rights or remedies that cannot legally be excluded under applicable consumer protection law.
12. Customer Responsibility
Before submitting media, customers should disclose any known damage, fragility, unusual condition, or special handling requirement.
By submitting media to Picture Perfect, you confirm that you own the material or otherwise have the necessary authority to have it digitized and that you authorize us to handle and process it for the purpose of providing the requested service.
13. Questions or Concerns
If you have questions about how your memories will be handled before placing an order, please contact us.
